About This Staff Role:
HTS has an exciting opportunity for a Part Time Stewardship and Events coordinator to join our team.
Event Management
- Coordination of fundraising, alumni, community, and Head of School events, including academic ceremonies;
- Be the main point person for all Office of Community Relations and Development events;
- Set up events and coordinate logistics, including working with internal departments for event logistics, and with external vendors
- Prepare attendance lists and name tags;
- Work with the team on event logistics specific to their areas;
- Serve as an ambassador for the school throughout the community;
- Work with HTS volunteers in coordination and execution of events, fostering positive relationships, by acting as liaison for volunteer and parent groups as needed.
Admin Support
- Provide administrative support for the team and all related events;
- Prepare and coordinate all event mailings and correspondence;
- Field phone calls, emails and requests in a timely manner
Stewardship:
- Collaborate closely with the Development and Engagement Officer to support and enhance stewardship initiatives, providing assistance as needed to ensure their successful implementation.
- Proactively identify and research prospective donors and community members who demonstrate an interest or capacity to contribute, helping to build and maintain a strong network of supporters.
- Assist in cultivating and nurturing relationships with existing and potential donors to foster long-term engagement and generosity.

What You Need:
We are inviting candidates with the following qualifications to apply:
General:
- Excellent communication skills (written and verbal) with a high attention to detail;
- Excellent organizational skills;
- Demonstrated understanding and commitment to excellence in internal client service;
- Highly developed problem-solving skills;
- Willingness to be innovative and create efficiencies in current processes and procedures;
- Great analytical, organizational and people skills.
Education:
- Post-secondary degree or diploma in event management, marketing, communications or related field preferred.
Working Experience:
- Minimum 1-2 years of experience in an event planning/fundraising environment;
- Experience in an independent school and/or education sector an asset;
- Demonstrated ability to organize and execute special events, in particular experience in working with volunteers.
Technical Requirements:
- Knowledge of Raiser’s Edge or equivalent database
- MS office, or Apple based or Google environment
