Administrative Assistant
Permanent Full-Time, On-Site, Year-Round Position
Commencing July/August 2026

The successful candidate will be able to adapt and assist in all divisions of the School.
Core Responsibilities:
● As a first point of contact, present a positive image of CDS and professionally greet and assist all students, parents, employees and visitors.
● Receive and screen incoming calls and emails, respond to inquiries in a timely manner or refer inquiries to appropriate individuals within the School.
● Provide administrative and office support including but not limited to: calendar management, reviewing and editing correspondence, preparation for school events and initiatives and responding to all related inquiries, completing relevant forms and documents, receiving mail and deliveries, and organizing daily announcements.
● Complete daily attendance including time sensitive phone calls as required.
● Order office and classroom supplies in accordance with school procedures, receive and distribute, and monitor back orders.
● Assist with extra-curricular program registration, team rosters, activity lists and House/CORE points.
● Coordinate the daily busing program and book transportation for school trips.
Knowledge, Skills and Experience:
● High School diploma or GED is required
● Post-secondary education in a related discipline is an asset
● Minimum 2-3 years experience in an administrative role, preferably in a school environment
● Strong knowledge of general office procedures and ability to work well in a team environment
● Strong written, editing and verbal skills to communicate with all levels of the School
● Superior interpersonal skills and telephone manners
● Individual who is resourceful, flexible, and a quick learner who shows initiative
● Excellent attention to detail with a high degree of accuracy, with proven organizational and time-management skills
● Ability to maintain confidentiality and manage sensitive situations
● Proficiency with Google Workspace, MS Word and Excel
● Experience with Blackbaud considered an asset
● Cantonese or Mandarin language skills considered an asset
● Current First Aid Certificate is considered an asset
Employment Details:
● The regular hours for this position are between 8:00 a.m. to 5:00 p.m., Monday to Friday.
● Salary Range: $50,000 to $58,000 commensurate with experience.
