The Opportunity:
Reporting to the Director, Athletic and Wellness Centre (AWC), the Receptionist & Auxiliary Programming Assistant is the welcoming face of the Athletics and Wellness Centre. You are crucial in ensuring a smooth and professional experience for all visitors, students, and employees at Branksome Hall. As the first first point of contact, you will respond to questions and requests for information.
As a valued member of the team, you'll also provide administrative assistance to the Director, AWC, helping support with the administration and delivery of various auxiliary programs.
The hours for this position are regularly Monday to Friday from 8:30 a.m. to 4:30 p.m., with flexibility dependent on the events and support needed at the AWC.
Key Accountabilities include, but are not limited to:
- Monitor building access by answering the door buzzer, speaking with visitors, and viewing security cameras
- Enforce the Visitor Policy and Envoy visitor system sign-in and sign-out procedures
- Respond to emails, telephone, and in-person inquires, and forward any messages as appropriate
- Monitor and track student Lunch Slips and share data with the appropriate administrative leaders
- File rental agreements, insurance forms, invoices, payment processing forms, employment forms, etc.
- Book and prepare meeting rooms as requested, and ensure the AWC and rooms are tidy
- Create and update access cards for all students and employees, disabling cards as reported, and ensuring correct access level is given throughout campus
- Support the Director, AWC with auxiliary programming, including creating and editing templated rental agreements, updating booking spaces to reflect availability, respond to queries regarding events, preparing physical rental spaces, and assisting with preparing and collecting rental information documents
- Assist with any financial reports for statement of accounts, outstanding balances, etc. and do required follow up, and with tracking payments for Rentals
- Communicate with Facilities, Housekeeping, Security and Aramark regarding the use of space, ensuring logistics are in place for changes to use of the space
- Identify and report any facility or equipment problems for maintenance and servicing
- Manage the Lost and Found in the AWC, and organize for donation as needed
Candidate Profile:
- 2-3 years’ related work experience in an administrative capacity
- Understanding of and experience working with recreational sport rentals and processes is strongly preferred
- Experience in an educational setting is preferred
- Excellent interpersonal skills and ability to build rapport with a range of stakeholders
- Ability to interact positively with students, faculty, parents, supervisors and peers
- Strong oral and written communication and planning skills
- Ability to maintain strict confidentiality
- Strong computer skills including Google Suite and Salto/Kantech technologies is an asset
- Familiarity with room booking system on Google Calendar is an asset

Target Hiring Range: $48,000 - $52,743.60
