The Senior School Office Administrator provides high-level administrative, reception, and operational support to the Senior School office and day-to-day life in the Senior School. This role requires a highly organized, personable and collaborative professional with exceptional judgment, technical proficiency, and the ability to manage complex projects with confidentiality.
Key Responsibilities
Reception & Office Administration
- Greets visitors, screens calls, and responds to community queries in a timely manner.
- Manages the Senior School office including distribution of incoming and outgoing mail, ordering of office supplies, general printer and copier maintenance, coordinates transportation (Uber/Taxi) and undertakes general clerical support.
- Supports communications to the school portal and collaborates with Leadership on submissions for the weekly e-newsletter.
Attendance & Student Records
- Serves as the lead contact for student absences and records data in the Student Information System (SIS) in compliance with the Safe Arrivals Policy.
- Prepares daily, weekly, and monthly attendance data reports.
- Maintains accurate student files.
- Supports school emergency procedures and distributes fire drill rosters for attendance.
- Organizes and maintains OSR files for every student in accordance with Ministry standards.
Academic & Student-Life Support
- Supports teacher coverages in collaboration with leadership.
- Supports the organization of Senior School exams (printing, seating charts, rosters) in collaboration with Leadership
- Event Coordination
- Manages online school calendars and room bookings, including Photo days, Parent-Teacher Interviews, Curriculum Night, Academic Breakfast, and Parent Information Sessions, among other Senior School-related events.
- Leads the administrative aspects of key events, including Graduation, Parent/Teacher interviews, Curriculum Night, and Proficiency Awards.
- Prepares seating charts for Chapel, and Assemblies.
Qualifications & Skills
- Previous experience working in an educational environment required.
- Undergraduate degree or post-secondary diploma in a related field.
- Familiarity with Ontario Student Records management requirements.
- Proficient use of Microsoft Office, Google Suite, and Student Information Systems (Blackbaud).
- Exceptional written and verbal communication skills, a focus on proofreading and editing is an asset.
- Highly organized with a proven ability to balance multiple deadlines.
- Ability to act with discretion and adaptability in a fast-paced environment.

The salary range for this position is $60,000 - $80,000 and reflects the required experience and qualifications for this role. Final compensation and total rewards will be determined based on the successful candidate’s unique skill set and may vary from the listed range.
Eligibility to work in Canada and clearance of a Criminal and Vulnerable Sector Background check is required.
