The Opportunity:
We are seeking a Boarding Administrative Coordinator to provide support and coordination to the operations of our boarding program. This includes support with emailing, calendars, budgets, and databases. The Coordinator will support international students and their families with any documentation, and support communications and follow up as needed.
With a proven ability to build caring relationships with students, the successful candidate reports to the Director, Boarding and supports the daily operations of a vibrant boarding program that aligns with the School’s overall strategic priorities, which include social emotional learning and diversity, equity and inclusion.
As part of the Boarding team, this role will be part of an on-call rotation every three weeks to support our Boarding Advisors on duty. Support may involve being on campus, or escorting students off campus for any reason within our policies and practices.
Key Accountabilities include, but are not limited to:
- Coordinate operational tasks with various departments across Branksome Hall
- Maintain filing systems to ensure files are up to date and accurate in the Boarding Shared Google Drive
- Follow up with student attendance, and coordinate materials, snacks and supplies across the boarding spaces
- Collaborate with the Boarding leadership team and escalate concerns or patterns as they occur
- Perform walk throughs in the houses, check-in with students, and engage in social-emotional learning prompts
- Answer calls and emails from students and their families, and direct to other members of Boarding appropriately
- Prepare communications as required, and maintain confidentiality of students and information
- Book transportation for student travel to and from the airport and arrange Advisor accompaniments as requested by families
- Coordinate the Boarding cell phones by recharging weekly and inspect for damage
- Take students to off campus appointments during the day as needed, e.g. Well Health Clinic, Dentist, etc.
- Review monthly lunch reports, student charges, oversee petty cash, and reconcile Visa chargers
- Manage and update the online Student Information System (SIS) for boarding students and families
- Maintain and update Boarding email and calendar with school-wide events, student birthdays, etc.
- Oversee the maintenance and updating of student demographic records and medical records on the student life management database system (REACH)
- Maintain a spreadsheet of passport and travel documentation, country of origin and expiry information
- Maintain information spreadsheets as needed and coordinate logistics for students to any events or programs
- Manage relationships with important vendors and community partners, such as Rexall, Well Health Clinic, Reach Student Life Management, and various off-campus activity vendors
- Rotation of weekend on-call coverage to respond to after-hour permission requests, collaborator to Boarding Advisors, and escalating crises and emergencies to the Director as needed
Candidate Profile:
- Post-secondary training in a related field
- 3-5 year’s experience working with students and/or adolescents, experience in an educational setting is an asset
- Strong sense of judgement and ability to respond appropriately in crisis situations
- Excellent interpersonal skills, including ability to connect with various aged groups and with those from varied cultural backgrounds
- Relationship focused and collaborative with demonstrated service orientation in a team environment
- Strong knowledge of calendar management, event coordination, travel arrangements, and reports
- Proficient in Microsoft Word, Excel, PowerPoint, Outlook, Google Drive is an asset
- Understanding of and experience with Citizenship and Immigration Canada processes an asset

Target Hiring Range: $64,153.44 - $80,191.80
