Administrative Assistant

Position Summary
The primary objective of this role is to provide administrative and organizational support to the Middle School Office. The incumbent will function with a high degree of attention to detail, accuracy and prioritization of work in a team setting. While the Administrative Assistant supports individuals, they also share responsibility for supporting the needs of other program areas.

Main responsibilities:
The Administrative Assistant is responsible for supporting the day-to-day activities of the School’s Middle School. Specific responsibilities include:
- Receiving and screening phone calls, school emails and visitors
- Supporting the day to day activities of the Head of School and Controller
- Manage the student and staff database system; update records, manually enter data, upload data and export various reports
- Assist with the coordination of major school events which include, but are not limited to: Registration Day, Curriculum Night, Parent-Teacher Conferences, Art Show, Graduation and Summer Camp
- Update and maintain the school calendar
- Act as the back-up for coordinating teacher coverage requests
- Responsible for ordering supplies for the Main Office, and various academic programs
- Perform administrative duties including photocopying, scanning, mailing and filing
- Assist with the preparation of accurate and timely reports and documentation for finance team and for other program areas
- Responsible for helping to organize student assessments, student visits and interviews in support of admissions decisions.
- Help plan and execute Admissions events including open houses and recruitment fairs.
- Perform other duties and special projects as assigned
Qualifications and Experience
- University degree and/or a relevant recognized community college program or equivalent work experience
- Advanced computer skills with Google Workspace and academic databases
- Excellent interpersonal skills and ability to liaise with various stakeholders
- Highly organized and able to prioritize in a high volume environment
- Adaptable to changing priorities with short deadlines
- Excellent communication skills, both verbal and written
- Ability to operate with utmost discretion of highly confidential information
- Good judgment, professional attitude, and detail-oriented ability
Hours of Work:
7:45 am - 4:00 pm (work hours may change or vary depending on the school’s needs)
