Job Summary
The Office Administrator plays a key role in ensuring the KCS Senior School is professional, welcoming and well-functioning for all. This role directly reports to the Principal, Senior School Student Life.
This role supports and oversees our Reception. As such, this role supports the smooth operations of the daily school by managing front-desk activities, coordinating visitor check-in procedures, and ensuring compliance with school safety and security protocols.
The hours for this role are 9:15 a.m. - 5:15 p.m.
Specific Responsibilities
- Serve as the primary point of contact at reception, greeting visitors, managing calls, and supporting student sign-in/out
- Maintain school safety protocols, including visitor check-in, monitoring entrances, and basic security oversight
- Coordinate teacher coverage for absences, including scheduling internal staff and guest teachers
- Support planning and execution of school events (logistics, setup, guest coordination, food orders)
- Manage office and classroom supply inventory and ordering
- Provide administrative support to school leadership and assist with communications and scheduling
- Support student well-being with basic first aid and coordination during health or emergency situations
- Assist with attendance, transportation, and other operational needs as required
- Coverage for other administrative staff and support for a variety of school operations as needed
- Calendar support and communication, including weekly newsletter updates
- Transportation booking as required
- Perform other duties as assigned which are within the area of knowledge and skills required by the job description
Job Requirements
- Strong organizational and multitasking abilities
- Strong computer and digital platform skills and experience
- Excellent communication and interpersonal skills
- Ability to maintain confidentiality and professionalism
- Comfortable working in a fast-paced, school environment
- Proficiency with administrative systems and basic office technology
- Previous experience in an Independent School setting is an asset
Position Type: Permanent
Reports to: Principal, Senior School Student Life
Start Date: August 31, 2026
Compensation: $45,000 - $55,000
