The Opportunity:
Reporting to the Associate Director, Human Resources, the Human Resources (HR) Coordinator will support the full range of operational human resource activities, such as employment agreements and communication, onboarding, payroll administration, and recruitment. As a member of the HR team, you will maintain the Human Resources Information System and employee files, prepare reports, work closely with the Payroll and Benefits Officer in completing the HR aspects of payroll and benefits and coordinate mandatory employee training.
A team player with a strong customer service orientation, the successful candidate will play a key role in supporting all departments and divisions across the school including a robust summer camps program creating and sending offer letters, collecting candidate information, administering criminal background checks, ensuring employees are onboarded and offboarded from the school, and acting as a first point of contact for questions.
Key Accountabilities include, but are not limited to:
- Support the recruitment process through posting of positions, extension of employment agreements and collection of new hire paperwork
- Maintain and update the Human Resources Information System (HRIS), ADP WorkforceNow, ensuring it reflects both HR and payroll updates and changes
- Prepare employment contracts and letters related to changes in employment conditions such as contract extensions, salary and benefits changes,approved leaves and employment verification letters
- Coordinate logistics for new, returning and departing employees’ including communicating with appropriate stakeholders to ensure timely preparation of onboarding and offboarding materials, collection of IT equipment and other hardware
- Facilitate and act as a first point of contact for parking logistics, completing the annual assignment to employees and,supporting those who are departing or returning mid-year
- Maintain and ensure complete records of Vulnerable Sector Screens, criminal background checks, legislated training, and other professional development or certification requirements
- Support with the planning of annual new hire orientation, and other ongoing training such as First Aid
- Track, monitor and prepare reports regarding employee related activities such as vacation, sick leave, performance reviews, submission of forms etc.
- Support with scheduling for the HR team, as needed.
Candidate Profile:
- Post-secondary training in Human Resources
- 2+ years of related experience in an HR administrative role, or equivalent
- Certified Human Resources Professional (CHRP) designation, or in progress, is an asset;
- Experience supporting payroll is considered an asset
- Able to maintain a high degree of confidentiality
- Exceptional attention to detail and accuracy
- Able to identify critical interdependencies within the employee life cycle, ensuring that related operational adjustments are proactively identified and executed
- Able to build strong professional relationships with strong interpersonal skills and work with multiple stakeholders
- Demonstrate flexibility and adaptability, responding to rapidly changing priorities
- Tactful and diplomatic with clear and proactive communication style
- Self-starter with the ability to anticipate needs and exercise sound judgement
- Experience working with Human Resource Information Systems (HRIS); knowledge of WorkForce Now is an asset
- Familiarity with or willingness to learn how to optimize work processes using Artificial Intelligence

Target Hiring Range: $55,757.52 - $69,750.72
